    REPORTS TO: Marketing Administrator & Office Manager

    EMPLOYMENT STATUS: Regular, Full-Time, Non-Exempt

    PAY SCALE: $10.00 - $15.00 per hour

    REQUIRED CPE: 10 Hours per Year




    As a Receptionist with Ascension CPA, PLLC, you are responsible for providing support services to clients and staff of the firm. This will include all areas of clerical, tax return intake, general office duties, answering incoming phone calls, and scheduling appointments. Important aspects of this are maintaining high standards of professional work and relationships with clients and staff. 




    • Be professional in appearance, in communication, and work quality.
    • Be organized and timely with matters that have deadlines.
    • Adhere to professional practice standards and federal & state laws.
    • Be respectful of Ascension CPA’s property.
    • Represent Ascension CPA in a positive, professional manner.
    • Communicate effectively with clients and staff.
    • Work independently as well as cooperatively.


    Essential Job Functions


    • Welcomes visitors to the office, assists them in making appointments, assures their comfort and directs them to the proper staff or service; maintains a calendar of staff location and appointments as needed (to include verifying appointments).
    • Answers telephones; screens calls, forwards calls and /or records and forwards messages accurately.
    • Processes all outgoing documents via mail, portal, email, disc, etc. Includes preparing and processing certified mail and tax returns.
    • Types forms, form letters and other documents as required at acceptable levels of speed and accuracy; collates, scans and photocopies materials as necessary; maintains supply of forms and charts as needed.
    • Maintains necessary files; sorts, files and retrieves documents and records as necessary.
    • Accept and process client payments via credit card and check.
    • Maintains client and firm confidentiality in conformance with agency confidentiality policy and State laws and regulations.
    • Other duties as assigned.


    Education, Experience, and Skills Required


    • Ability to establish and maintain a positive and professional relationship with co-workers, clients and visitors; cultural sensitivity and ability to relate well and effectively in a diverse workplace and with a diverse client population.
    • Typing ability at required speed and accuracy.
    • Considerable knowledge of business English, spelling and punctuation, office practices and procedures.
    • Ability to organize, efficiently document and routinely update information
    • Ability to use office equipment, including a computer, copier, calculator, multi-line phone, and fax.
    • Ability to operate and troubleshoot general office equipment (e.g., copier, fax, calculator, etc.)
    • Flexibility in responding courteously to immediate needs of visitors and callers; ability to establish priorities and maintain productivity despite numerous interruptions.
